Introduction

NeoBee platform allows users to manage project or implement business processes with no or almost no code. Main goal of the Platform is to get fast from the idea to first working solution.

Platform

In order to be able to call it a Platform NeoBee had to implement different core components that can be combined into a solution. It also had to become easily customizable so it can solve specific problems.

Business Process Management

‘Business process management (BPM) is the practice of modeling, analyzing, and optimizing end-to-end business processes to help meet your strategic business goals, such as the improvement of your customer experience framework.’ Harvard Business School.

NeoBee is a platform that allows creation of new Business processes or reuse of existing Business templates based on best industry practices. It can be used to define processes in Human Resources, Document management, Customer support, Contract management and many other businesses.

How to do it?

NeoBee allows you to Draw your project workflow on NeoBee board, add necessary project form fields and test your project idea as quick as possible.

Form management allows users to customize user screens and define controls like ‘required’, ‘visible’ and  ‘editable’, conditions when fields appear on page and who can see what based on Project roles.

Project workflows drawing board allows easy creation of flow conditions like ‘requires approval if value above $x’.

Business decisions are implemented using Approval functionality that allows customizations like ‘Everyone has to approve’ or ‘At least one’. It can be combined with digital signatures too.

Project management

‘Project management is the application of processes, methods, skills, knowledge and experience to achieve specific project objectives according to the project acceptance criteria within agreed parameters. Project management has final deliverables that are constrained to a finite timescale and budget.’ Association for Project Management

NeoBee platform supports Scrum, Kanban, Waterfall and other custom project templates. It allows users to customize these processes to specific requirements.

Behind the scene NeoBee platform takes care of Service Level Agreements (SLA), Job delegation/scheduling between employees, proper access rights based on project roles, and team organization and available resources.

There are various forms of resource capacity data sources than can be used to track planned resources vs available resources. NeoBee can integrate with external HR/Resource tools to get that information but also, can have resource capacity defined in its own database.

How to do it?

Customers can create projects from Scrum, Kanban or Waterfall templates and they can immediately start working on project. Although there are sensitive defaults, users should customize SLA, project permissions and notification levels.

Users start working on project by entering new project tasks with task description, meta data, time and story points expectations, priority and relation to other tasks.

During project execution, users can track time they’ve spend working on tasks, add comments, transition tasks to different states.

Reports like burndown and velocity are available to match industry standard calculations.

System Integration

NeoBee platform positions itself in the middle of the existing infrastructure: core erp systems, document management, digital services and others.

It offers workflow engine that can coordinate communication between different systems. For example, Support ticket can create request to core system to activate service, call another service to create invoice and push it to a service that delivers emails to customers.

Integration between services can be created using industry standard protocols like Rest, SOAP, gRPC, … or via direct connection to databases, file systems with no additional software development.

Support projects

Support projects are focused on helping customers being them internal or external to the company. Therefore main metrics are based on time and quality of the response. NeoBee platform helps making proper task distribution among support staff via Queue management.

Integral component of a Support system is Knowledge base. NeoBee platform offers Knowledge base as an integral part of the platform so support staff can match questions and answers available in the documentation.

Security

Permission schemes

Permission schemes allow customers to make central rules for accessing project actions and reuse these rules on different projects.

Trail

NeoBee platform logs all activities on the platform. This log can be saved in specialized storage on the platform or shipped to customer’s own trail log servers.

GDPR

Fields can be marked as GDPR sensitive and any usage including read of these fields is restricted and monitored. Also, these fields can have expiry date assigned to them.

Code and Penetration test

NeoBee code is controlled by industry expert solutions for Code Quality, Security & Static analysis tools like SonarQube and Docker.

Regular penetrations tests are performed against the platform.

Document management

NeoBee document storage allows document versioning with restricted access according to archival standards. It supports document indexing, supporting PDF, all text and Microsoft Office document types. It allows not only search inside documents but also suggestions like similar documents and suggested answers to knowledge base queries.

Digital signature

Digital signatures are integral part of the platform. It is possible to sign documents in a process including scenarios with multiple signers and signatures.

Licensing

NeoBee licenses are counted against users that contribute to the business processes like support staff and project participants and not against customers creating support tickets.

It is possible to choose between on-premises perpetual and non-perpetual licenses but also cloud SaaS solution managed by NeoBee partners.

Migration

NeoBee platform proved to be great place to migrate from Lotus Domino and Atlassian Jira and Services solutions.

Easy interface to import data from any CSV and Excel file formats allows quick migration.
